Operations automation · Integrations · Consulting

A coordinated AI layer for how your business runs.

Automations and integrations that talk to each other — so your team spends time on what matters.

We look at how your operations actually run, replace the manual work with automation, and connect it into the systems you already use. What starts as one process becomes a set of automations that speak to each other across your business — quietly, in the background, sharpening the operation as you scale.

Built EU-first, tailored per client, transparent throughout.

What we do

Automate a process. Connect it to your systems. Sharpen it over time.

We work across the operational surface of your business. Every engagement follows the same shape — we look at how a process runs today, replace the manual work with automation, connect it into your existing systems, and keep refining it as the operation grows. Where a best-in-market tool already solves a problem well, we bring in the one we'd use ourselves; where nothing on the market fits, we build it. Start with one process; expand as you see it working.

01

A capable assistant

For the customer-facing surface — where questions come in, leads land, and bookings need to happen without a person answering every message.

  • Learn how your customers askWhich questions your team answers on repeat, what a good response looks like, where handoff to a person actually matters.
  • Train the assistant in your voiceAn assistant trained on your business that answers, qualifies, books, and hands off cleanly — in your voice, in your workflow.
  • Wire it into your stackConnected to your CRM, calendar, help desk and knowledge base, so nothing lives in isolation and no one has to copy-paste between tools.
  • Get sharper with every conversationEvery question feeds what it learns; every gap surfaces the next thing worth answering better.
02

Operations that keep pace

For the work behind the scenes — document processing, sales and marketing operations, programme management, back-office support, and whatever else in your business runs on repeat.

  • Map where the hours goDocument collection and review, onboarding, reminders, follow-ups, pipeline updates, reporting — the workflows that eat afternoons and don't need to.
  • Bring in the best tool, or build it ourselvesWhere a proven tool already does the job, we bring in the one we'd choose ourselves and make it fit how you work. Where nothing on the market fits, we build the flow from scratch — trigger to completion, with human review only where judgement is actually needed.
  • Plug into the tools you already runAccounting, CRM, storage, calendars — records stay in one place, stay current, and stop drifting between systems.
  • Free the next process to automateEvery workflow taken off your team's plate frees the capacity to tackle the next one. What was three hours becomes three minutes, then zero.
03

A sharper operation over time

For the ongoing work of running the automation well — reviewing what's working, extending what could work harder, and keeping the whole thing accountable.

  • Read the operation as a wholeNot just one process — the whole shape of the operation, where the drag is, where the compounding leverage sits.
  • Redesign as the business changesAutomation isn't a one-off install; it's a living system. We keep tuning it as your team, your customers, and your tools evolve.
  • Break down the silos between teamsOperations, sales, support, finance — they stop working in isolation when the systems underneath them start talking.
  • Handed over, never gatekeptNothing we build is a black box. Runbooks, ownership, sensible defaults — so the operation is yours to run, not ours to hold.
The full picture

Every function automated. Every function talking to the next.

Most businesses run departments that operate in isolation — customer support doesn't see what marketing is doing, sales doesn't see what support is hearing, operations doesn't see either. A ticket, a lead, a document, a shipment: each one moves through its own tool, in its own team, with the joins made by people copy-pasting between systems.

Our long-term aim with any client is to remove those joins. We automate one function properly, then the next, then the connections between them — until the operation runs as one coordinated layer where every function informs the next, and no team is flying blind on what another is doing.

You start with one process. The value compounds as more of your business joins the same layer. That's the direction; how far and how fast is your call.

Built for any operation

If your team does it on repeat, we can make it sharper.

We don't organise around industries — the same work shows up in all of them. What differs is which part of your operation is costing you the most time. Customer support, document processing, sales and marketing, programme management, finance and HR admin, reporting and data pipelines — we automate across all of it. A few of the places it usually starts:

Customer support & front desk

The same forty questions, every day.

Your team retypes answers that already exist, and anything arriving after hours waits until morning. An assistant handles the routine ones in your voice, books and reschedules against a live calendar, and hands off the moment real judgement is needed.

Documents & back office

Paper in, structured data out.

Contracts, invoices, forms, applications and reports arrive in every format there is. We read them, pull out what matters, check it, and push it into the systems that need it — onboarding, filing and record-keeping included, with nobody retyping fields.

Sales, marketing & pipeline

Leads go cold in the gap between tools.

An enquiry lands in one place, the CRM lives in another, and the follow-up depends on someone remembering. We close the gap — qualifying, routing, updating records and triggering the next touch automatically, so the pipeline reflects reality without anyone maintaining it.

Everything else that runs on repeat

Don't see yours here?

Programme and project management, finance and HR admin, reporting, dashboards and early-warning data pipelines — the approach never changes. Where a proven tool already does the job, we bring in the one we'd choose ourselves. Where nothing on the market fits how you operate, we build it from scratch.

Track record

We were doing this work long before Praxis existed.

The founding team spent two decades building and running operations and technology inside large organisations: government, enterprise, and humanitarian. Some of what that looked like:

70,000+
working hours a year taken out of manual processes
$130M+
in measurable impact across the programmes we ran
115+
partners and integrations taken live end to end

About

Senior operators who build the systems — then make them run.

Praxis Acumen is an independent partnership with 20+ years of combined experience leading complex programs across operations, supply chain, product and technology. We bring that level of thinking to growing businesses — without the corporate overhead.

Who we are

Depth, not just scale.

We've governed large-scale programs from the ground up, driven significant cost and efficiency gains through automation and process redesign, launched operations across international markets, and delivered measurable commercial impact across the supply chain. What sets us apart is the depth at which we work — in the weeds with engineering and data teams building automation, in the boardroom turning strategy into execution, and on the ground embedding change in operations teams.

We work embedded alongside your team and keep everything documented and transparent. But automated operations aren't a hand-it-over-and-leave job — they're living systems that need tending, extending and refining as you grow, so we stay on to keep them running and sharp. Everything we build is yours; the ongoing relationship is earned on results, not lock-in.

How we work

Small team, tight loops, documented work.

01

Understand the constraint

We align on outcomes, risks and what “done” means before building anything.

02

Ship in thin slices

Vertical increments that reduce surprise and keep you in the loop throughout.

03

Keep it transparent

Runbooks, ownership and sensible defaults, so nothing we build is ever a black box.

Projects

Systems we've built and run.

A sense of the range, behind Praxis Acumen — the kinds of systems the team has designed, built and run across sectors. The specifics stay with our clients.

Coordination & response

Early-warning & civic platforms

Platforms for teams that have to act when timing matters most — sharing information, routing aid and cases, and turning noisy real-world data into early signals. Built to stay calm under pressure.

Fintech & analytics

Market & trading analytics

Dashboards and tooling that pull exchanges, signals, execution and reporting into one traceable view — so the people making fast calls can see the whole board, not fragments.

Automation

Workflow & agent-style automation

The quiet kind of automation that removes repetitive work between systems — document flows, follow-ups, reporting — including agent-style workflows that carry a multi-step task from start to finish.

Operations at scale

Operations, rebuilt to scale

Large operations redesigned to run leaner — partner and carrier networks onboarded, processes standardised, manual effort stripped out. In one case, an eleven-person process collapsed to three.

Data engineering

Pipelines that tame the mess

The unglamorous foundation everything stands on: turning spreadsheets, exports and archives into clean, queryable systems with reporting people actually trust.

Privacy & data

How we handle your data.

Confidentiality is a design principle at Praxis Acumen, not an afterthought. This is a plain-language summary of how we treat the data we touch on your behalf.

Our role

When we build or run systems for you, we process personal data on your behalf — you are the controller, we are your processor. Every engagement is governed by a Data Processing Agreement (DPA) that sets out what we process, why, and the safeguards around it.

What we process — and how little

We handle only the data a job actually needs, and we keep a record of what that is. We don't repurpose your data, and we don't sell it.

Security

  • Encryption in transit and at rest.
  • Access limited to the people who genuinely need it.
  • A breach-notification process, so you can meet your own obligations quickly.

Sub-processors & where data lives

Any third-party tool that touches your data — AI provider, automation platform, hosting — is a sub-processor, listed in your DPA. We prefer EU hosting, choose providers that don't train on your data, and put the right transfer safeguards in place where data crosses borders.

AI transparency

Where we deploy an AI assistant, it clearly tells people they're speaking with an AI, and hands off to a human when that's the right thing to do.

Your rights

We help you respond to access or deletion requests from the individuals whose data we process for you.
